For those users who have activated Theater Seating for their Events Module the Event Seating Map will allow you to visualize all the sold and unsold tickets for your Theater Seating Events. You can navigate to this page by mousing over the Workspace menu, then Events, and clicking on “Event Seating Map”. On this page you can select which Theater Seating event you wish to display from the dropdown in the top left corner of the page.
Once an event is selected you will be able to see a list of all your Event Attendees along with their email and details about their assigned seat. Each row will have an edit button where you can switch who the Attendee is assigned to that seat. Just find the desired row and click the Pencil and Paper edit icon. A dialog will pop up with features a “Actual Attendee” Constituent search field. Click the field and enter in the Last Name of the Constituent you wish to assign the seat to. Select the desired Constituent from the search results and click the blue “Update” button to confirm the change.
Next to the Edit button is another button with a person icon that will allow you to easily find that Attendee’s assigned seat. Clicking the button will reload the Seating Map and highlight that Attendee’s seat in yellow on the map.
On the Seating Map itself you can also mouse over any of the seats and see the details about the seat and if it has been sold who is assigned to it. The color of the seat will also indicate it’s status. The colors are as follows:
Yellow – Selected Seats
Dark Green – Available
Light Green – Available – Eligible for Subscription/Flex Passes
Red – Unavailable
On the Seating Map you can also switch between the different sections that were imported into your Theater Seating. Each of the different selections will be available in the picklist in the upper left corner above the map.
A Constituent Search field is also provided at the top right of the page. This will allow you to enter in a Name, Constituent ID, or Ticket # to find the desired Attendees on the list to the left of the Seat Map.
To the left of that search field is the “Actions” menu. Here you will find options to Export the seating data to Excel, create an email list from the Attendees, print name tags or badges, and send out Text Messages. The “Export to Excel File” will allow you to specify which seats you wish to include in the export. You can choose from All Seats, Available (unsold) Seats, or Unavailable (sold) Seats.
