Mail Merge templates are created and stored in the Mail Merge Template letter library pages under CRM, Fundraising, Events, General Membership, and Youth Memberships modules. Choose the library based on which mail merge fields and data you want to be included in the letter. 

Note that each template letter library is independent of each other and the letters cannot be shared. You can copy and paste the text from one library to another, but you will still need to insert the appropriate merge fields into the templates.

CRM Module

The Mail Merge CRM Template library is used to create letters using data from the Constituents grid. Letters produced here include things like end of year tax letters, annual appeals, volunteer appreciations letters, and general correspondence templates.

Fundraising Module

There are two template libraries in the Fundraising module, Mail Merge Gift Templates and Mail Merge Pledge Templates. The Mail Merge Gift Templates get their data from the Gifts grid and are used for donation, in-kind, and pledge payment acknowledgement letter templates. The Mail Merge Pledge Templates are linked to the Pledges grid and are used for sending new pledge acknowledgements and pledge reminder templates.

Events Module

The events module also has two template libraries. The Mail Merge Event Templates is linked to the Events grid. It is used for creating event acknowledgement letters, event invoices, and other event transaction correspondence. The Mail Merge Attendance Templates are linked to the Event Attendance grid. It is used for sending letters to event registrants and attendees and will include information available from the Event Attendance grid.

General Membership Module

The General Memberships module has the Mail Merge GM Templates linked to the data in the Memberships grid. It is used for creating membership acknowledgement letters, invoices, renewal reminders, and other general membership correspondence templates.

Youth Memberships Module

The Youth Memberships Module also has a mail merge library in the Mail Merge YM Templates page. It is linked to Members grid, but has very limited information available - just Head of Household and member contact information available for the letters. It is used for general correspondence only.
