When donations are made as a tribute, the donor or family may provide information on who should receive notifications of the contributions. If this information is available, you can create statements for the people who are receiving the notification that include a list of all contributions received.
Begin by creating a Mail Merge Gift Template letter for your notification summary. An example of the merge fields to include is shown below.
Tribute notification statements are generated from the Gifts grid.
- Filter the grid for the contributions to include in your statements. You do not need to limit statements to a single tribute person or organization. Each statement will only include donations that have the same notification constituent.
- There is a pre-made view available from the View Builder called “Tributes 90 Days.” It includes the filters for:
- Tribute Acknowledged = “Is False” or “No”
- Date Range = Last 90 days
- Tribute = “Is True” or “Yes”
- You can customize the date range and other fields as desired.
- Once your grid is filtered, use the Actions menu and select Print/Email Mail Merge.
- In the new window, select your letter under Mail Merge Template.
- Acknowledged can remain “No” since this is for the individual donations.
- Tribute Acknowledged should be set to YES.
- You can select how you are sending the acknowledgement under Tribute Acknowledged How.
- Enter the date you are sending the statement in Tribute Acknowledged Date.
- You can leave Combine Split Gift Amounts as YES.
- Select Tribute Summary under Attach the following data to the end of the letter.
12. Under Options, you can select a date range if desired. Note that tribute donations that were included in previous statements for this notification constituent will be excluded from the statement.
13. You can select your Delivery Options and Archive options as desired. Click OK to generate the statements.
A letter will be generated for each notification constituent with a statement that includes a list of all donations that were not included in any previous statements.
