The volunteer module also includes a scheduler feature which is used in conjunction with volunteer events. To utilize the scheduler, build the volunteer event first. To learn more about volunteer events, see these articles: https://support.donorview.com/en/support/solutions/folders/9000200171


Once your volunteer event is created, you can use the scheduler to see who is signed up, create new registrations, and export the schedules. 

  • The top left side of the window will show the available volunteer events. Select the appropriate volunteer event, then select the day from the calendar to reveal the activities and shifts available that day.
  • The activities and shifts are then shown on the schedule view to the right.
  • Activities with unlimited spots or no defined schedule will be shown at the top of the schedule view, as shown in the the second image below.
  • For single day events, be sure to select the day of the event on the calendar to reveal the activities for that one day.




  • Below the calendar on the left, you will see a list of the levels and color codes.
  • You can add new activities by clicking on the +Add Level button, however for recurring events you will likely want to make your changes directly in the Event Setup page in case you need to update the schedule availability.
  • You can also edit an existing level by clicking on the Edit icon as shown below. Note that this only gives you access to change items within that level, it does not open the entire Event page for editing. As mentioned above, for recurring events, you may want to use the Event page editor for recurring events if you need to customize the times/days for specific days, like holidays.
  • Editing a level will only affect future registrations.
  • You can also delete a level using the Trash can icon.


  • At the bottom of the screen is a list of everyone who is registered for that day. 
  • You can move, sort, and filter these columns as you can with other grids, however when you navigate away, the columns will revert to their default setting. 
  • There is a column called Ticket Level which will show what activities the volunteer registered for.


  • Clicking on any of the activities will reveal only those people registered for that activity and provide a new green button called Create New Registration to be able to register volunteers from the scheduler.
  • You can only create one registration at a time for one activity.


  • Clicking on Create New Registration will open a new window to allow you to schedule a volunteer for that particular shift on that particular day only.
  • You can search for an existing constituent in the database by click on the arrow on the right side of the Constituent box.
  • If the constituent does not yet exist in the database, you can create a new one by entering their information
  • After selecting the existing constituent or entering in the new constituent's name and contact information, click the blue Create button to create the registration.
  • This is internal only, so no confirmation email is generated for the constituent.


  • On the top of the page, you can scroll through different days and different views, as well as export those views as a pdf file.
